Job Description

A. Job purpose:
The Project Associate will provide administrative and logistical support, assist in field-level monitoring, data entry, reporting, and coordination of activities under the SheLeads project. The position supports the smooth implementation of project activities aimed at enhancing the skills, livelihoods, and life skills of young girls and women working closely with the project team under the guidance of the Knowledge Management and Digitalization Specialist.

B. Roles and Responsibilities:

Compliance with Policies, Rules/Regulations and Guidelines:
Adhere to Helvetas' organizational policies, procedures, regulations, and guidelines (Personnel, Financial, Administrative policies; Security Response Guide;
Gender Equality and Social Inclusion Guide; Sexual Harassment & Mobbing Policy; Code of Conduct Against Corruption, etc.)

Administrative Support
a) Support planning and organization of training programs, workshops, review meetings, and field visits.
b) Coordinate logistics for field missions, including transportation, accommodation, and documentation.
c) Maintain inventories and support the distribution of project materials and supplies.
d) Prepare and maintain attendance records, travel requests, meeting minutes, and other related documentation.
e) Support the documentation and filing of project materials, including reports, photos, and knowledge products.

Field-Level Monitoring and Data Collection:
a) Support the implementation of the SheLeads Monitoring System, particularly for the Vocational Skills Training component.
b) Assist in collecting, verifying, and entering field-level data in a timely and accurate manner.
c) Conduct regular field visits to monitor project implementation and provide basic support to Training and Employment Service Providers (T&Es).
 

Reporting and Knowledge Management 
a) Contribute to the preparation of field reports and data compilations.
b) Support documentation of field activities, including case stories and good practices on skills development and women’s economic empowerment.
c) Assist the Knowledge Management and Digitalization Specialist in preparing progress reports and maintaining project documentation.
d) Contribute to the development of knowledge products, such as reports or presentations, highlighting lessons learned and outcomes from field activities.

C. Required Education, Experience and Social Competencies:

Education & Experience:
a) Bachelor’s degree in development studies, social sciences, or any other relevant field.
b) Minimum 3 years of working experience in administrative support, data entry, projectcoordination, or field monitoring. 
c) Strong organizational and multitasking skills with attention to detail.
d) Proficient in Microsoft office (Word, Excel, PowerPoint) and digital data collection tools (e.g., Kobo toolbox, survey monkey etc.)

Skills and Competencies:
a) Basic understanding of logical frameworks and monitoring systems.
b) Experience in monitoring, reporting, and knowledge management.
c) Familiarity with working in coordination with government agencies, donors, and development partners.
d) Experience in organizing events, consultations, and training activities.
e) Good computer literacy and familiarity with digital tools and platforms.
f) Strong communication skills with fluency in written and spoken English and Nepali; knowledge of local languages is an advantage.
g) Experience in documentation and writing in English, with attention to detail, ability to meet
deadlines, and capacity to work both independently and as part of a team.
